MASSEY MANUALS ON-LINE WITH NEW CYBER LIBRARIAN
Massey University's massive operating policies and procedures manual is now readily available to staff on-line, thanks
to Wellington firm Silent One Limited.
The Manual of Operating Policies and Proceedures (MOPPS) used to be a massive four-volume document, which took around
nine months to prepare for printing, and each time 100 sets had to be distributed around the University.
"In reality, once the document was sent out, it was almost out of date," said Mike Ellis of Massey University's
Assistant Director, Information Technology Services
"We needed to save all the changes until we were next planning a reprint of the whole document."
"Plus it was difficult for people to actually find the information they needed, so it wasn't being used as much as we
would have liked."
Silent One was brought into the project by WANG, now Gen-i, who was chosen in late 1999 to implement the project.
SilentOne extends the Microsoft operating system to provide easy access and control of all files using internet
technology. SilentOne Internetcan be likened to a cyber-librarian - it manages and monitors information - controlling
everything from security and version control, to check in/check out and expiry dates of documents or files, and delivers
this information to a browser via the internet.
After installing the system on a test machine SilentOne was rolled out throughout the University.
"In the first 10 months we registered 3500 'hits' on MOPPS," said Mike Ellis "Our 2000 staff probably wouldn't have
opened the old hard-copy versions that often in years."
Gerrit Bahlman, Director of Information Technology was the project director for the deployment of SilentOne and
commented "SilentOne is an important tactical tool for the management of Massey's growing and expanding information
management needs. The pursuit of a quality learning, teaching and research environment depend on finding and deploying
the 'right tools' so the right information goes to the right people at the right time"
Mr Hight, Managing Director of Silent One says that "Any organisation which has large numbers of documents, or even just
a few huge documents, needs to make sure that information is accessible - SilentOne is an ideal fit for Massey's
requirements as it allows them to have total control over the e-MOPPS documents whilst at the same time making the
information readily accessible via any browser"
