Canon Launches eCopy in New Zealand
Integrate printers and scanners with email servers, fax servers, document management systems and existing business processes using this unique hardware/software combination
Canon New Zealand Ltd, a leading provider of imaging, output and document management solutions for enterprise, has announced the New Zealand launch of eCopy. This unique solution distributes and integrates paper-based documents into general business processes that are electronic.
The eCopy ScanStation is a touch-screen tablet that attaches to Canon imageRUNNER devices. Up to six on-screen buttons can be customised to become a one-touch interface to a different business function, such as "scan to email", "scan to fax", "scan to document management" or to another critical business process.
"With eCopy, paper-based procedures can be turned into electronic processes, saving time, increasing security and improving overall business efficiency," said Tony Wills, national manager, Business Imaging Solutions Group, Canon NZ. "One of eCopy's key strengths is that it is so easy to use that most staff are able to use it without any training. And it utilises the company's existing infrastructure by integrating with business processes and IT environments."
eCopy's native integration with email systems is so extensive that an email sent using eCopy appears in the sender's email outbox - and the recipient's inbox as being from the sender rather than from an anonymous device. The corporate address book is automatically available to all eCopy devices, so there's no need to upload email addresses manually.
The user can preview scanned images on the ScanStation's screen, and eCopy's unique JobBuild capabilities provide the ability to delete or replace specific scanned pages and to combine pages of different sizes before sending, without returning to their PC. eCopy's security features are so stringent that they meet US government requirements. Users must login with their network password in order to send documents from an eCopy-enabled device, and the eCopy unit maintains log files of activity by named user. This also means that users are only able to send documents from their own account. Documents may have security applied from open access to password protected 128-bit encryption, which may be set by the administrator or user selectable. Once a document is sent, it is immediately completely cleared from the eCopy unit and cannot be retrieved or hacked from the unit, ensuring maximum security.
Clifford Chance - the world's largest law firm, based in London, uses eCopy to scan and mail documents both within and external to the business in encrypted form. Activity is also recorded in its client billing system for charge back to clients. The business efficiency and security benefits of eCopy have led to its use in approximately 30 percent of the top 100 legal practices in the world.
eCopy Desktop - desktop software which is bundled with ScanStation units or as a corporate installation - is available to eCopy users. It offers the ability for users to mark up electronic documents as though they were hard copies and provides features such as the ability to white out information, stamp, highlight, annotate and OCR (Optical Character Recognition), to convert a scanned file to editable text in PDF, Microsoft Word, Microsoft Excel or HTML format.
As well as being compatible with Canon's range of black & white imageRUNNERS, when used with the Canon iR C3200 and iR C3100 colour devices, the eCopy's Xpert system will automatically select the best compression standard for each file, reducing the size of a full-colour scan by up to 99 percent.
